What is a payment terms baseline?
A payment terms baseline is a record of the contracted terms and the actual payment days for every trading partner, at a fixed point in time. It is the reference point against which every subsequent target, negotiation and result is measured. Calculum builds the baseline before any benchmarking begins.
What does a baseline contain?
- Contracted terms: the agreed period for each trading partner, such as net 30 or net 90.
- Actual payment days: when payments were actually made, measured over a period long enough to smooth seasonal variation.
- Annual spend or revenue: the volume the terms apply to, which converts a day into a cash figure.
- Category and geography: so the baseline can later be compared against genuinely comparable companies.
Why is a baseline not the same as a benchmark?
A baseline describes the current position. A benchmark describes what the market supports. The baseline is built from internal records, while the benchmark is built from external market intelligence. The target is the difference between them.
An initiative that sets targets without an accurate baseline is measuring progress against an assumption. This is a common reason working capital targets are missed, because the difference between target and result may reflect a flawed starting point rather than an unsuccessful negotiation.
When should a baseline be established?
Before targets are set, not after. A baseline built partway through an initiative cannot distinguish between payment terms that were always at market and payment terms that improved, which makes the result difficult to attribute. Refresh it regularly, and whenever the trading partner base changes materially.
Why are contracted payment terms alone not enough?
Recording only contracted payment terms conceals terms leakage, the difference between what was agreed and what is actually paid. A baseline built from contracts alone can show an initiative succeeding while the working capital position remains flat. Both data points are required, per trading partner, for the baseline to be usable.
